Designing an Attendance Policy That Holds

How to write attendance rules that a system can enforce — punch sources, grace, half-days, overtime and regularisation.

Decide the punch source per category

Office staff on biometric devices, field staff on the mobile app with geo-fencing, hybrid staff on web check-in. Say it explicitly in the policy so nobody argues about which record counts.

The rules to fix in writing

  • Shift start, end, break duration and grace minutes
  • Late-mark treatment and how many equal a half-day
  • Minimum hours for a half-day and for a full day
  • Overtime eligibility by grade, approval requirement and rate
  • Week-off and holiday working treatment
  • Missing-punch regularisation limit per month
  • Continuous unauthorised absence and its consequence

Make exceptions visible, not invisible

Every regularisation should be a request with an approver, not a back-end edit. When the exception path is visible, the exception count falls on its own within two cycles.
