The building blocks
| Component | Purpose | Watch out for |
|---|---|---|
| Basic | Anchor for PF, gratuity, leave encashment | Too low invites scrutiny; too high raises statutory cost |
| HRA | Rent-linked exemption for employees who pay rent | Needs rent proof; useless for those who do not pay rent |
| Special allowance | Balancing figure | Fully taxable; keep it as the residual |
| Reimbursements | Actual-expense based | Requires bills and a claim process |
| Employer PF | Retirement saving | Part of CTC but not of take-home |
| Variable pay | Performance linkage | Define the payout rule before it is offered |
| Gratuity provision | Long-service benefit | Only payable on eligibility; show it separately in CTC |
Design principles
- One structure per grade, not one per employee
- Keep the number of components small enough to explain in a minute
- Make CTC, gross and net all reproducible by the system
- Never promise a net figure you cannot compute after tax and statutory changes
Explain it to the employee
Most compensation dissatisfaction is comprehension, not amount. A payslip that shows CTC, gross, deductions and net with the same labels as the offer letter removes the majority of queries.
